COVID-19 Appointment Protocol

Elora Physiotherapy has now been authorized by the provincial government and the College of Physiotherapists of Ontario that we can provide direct in-person care. A number of adjustments have been made at the clinic in order to keep our clients, staff and the community safe while under the COVID-19 pandemic.

The following is a list of steps that must be taken before, during, and after each in-person visit at Elora Physiotherapy.

In advance, the staff at Elora Physiotherapy would like to thank you for following these standards while we continue to promote health and safety for all.

1. Forms To Sign

On the day of your appointment, we will require you to fill out an online ‘Client Screening Questionnaire’ no more than 2 hours before your appointment. The form will be sent to you through our online booking platform, Jane. This form ensures you are an appropriate candidate for in-person care, and are comfortable with the risks associated with an in-person appointment. You will not be able to enter the facility until this form is completed. Please note that you will need to repeat this form before EACH consecutive appointment. If you do not see this form in your inbox the day of your appointment, please check your junk folder and contact our clinic if it’s still missing. If you answer “yes” to any of the questions, you will not be allowed to enter the clinic and should alternatively utilize online video appointments.

2. Arrival at the Clinic

Please arrive promptly for your appointment. When you arrive at the clinic, please wait outside the building or in your vehicle until the time of your appointment. Our administrative team will call you when they are ready for you to come in for your appointment. They will confirm you have completed the screening questionnaire less than 2 hours before your appointment time and have not answered “yes” to any questions. Please be sure to provide our administrative team with your cell phone number at the time of booking. Clients are asked to use only the back entrance of the building and to use the elevator only to access the clinic.

3. Masks

All clients who enter the clinic are required to be wearing a face mask. You may bring your own face mask with you, which can be either cloth or paper. A face buff or bandana covering your face is also acceptable. If you do not have a mask, you may purchase one upon your arrival at the clinic for $2.00. When you enter the clinic, please ensure that your mask is on. If you are purchasing one from us, please indicate this to the administrative team when they call you in for your appointment so that they may have it ready for you.

4. Personal Items

Please leave all personal items (including jackets, water bottles, cell phones, etc.) in your vehicle. If you will be arriving by bicycle, we ask that you lock your helmet to your bike, and leave any other personal items at home.

5. Others in your Appointment

No one will be allowed to accompany you to your appointment, unless you are under the age of 16 and require a parent/guardian, OR you would typically have an assistant with you for safety or mobility concerns. If someone will be accompanying you to your appointment, please let our administrative team know in advance so that we can ensure additional forms are completed by these individuals.

6. Hand Sanitizing

Once you enter the building, you must stop at the hand sanitizing station and sanitize your hands prior to entering the elevator. Once out of the elevator, you must stop and sanitize your hands again just outside the clinic door. Our administrative team must observe you complete this task, so please ensure someone is available and watching before continuing.

7. Temperature Taking

The last step before entry to the clinic is our administrative team will take your temperature at your forehead with a touchless thermometer. If your temperature is 100.4°F/38°C or higher, you have a fever and will not be permitted for in-person care. It is then advised to resume treatment with video appointments.

8. Waiting Room

Prior to entering the clinic, please remove all footwear and leave on the trays provided outside the clinic. Upon entering the clinic, you will be directed to stand on one of the turquoise floor decals. There will be a chair located at each spot for your use if necessary. As you wait for your therapist, please avoid touching any surfaces. When your therapist is ready, they will bring you into their treatment room. Your therapist will also be wearing a mask.

9. Washrooms

Please note that there will be no washrooms available to the public, except in the case of an emergency. Please use the washroom at home prior to leaving for your appointment.

10. Appointment

The appointment itself will take place fully in the therapist’s office. This may mean that certain equipment will be brought into the office for your use during the appointment. All equipment is thoroughly sanitized after each client’s use.

11. After Your Appointment

Any prescribed follow-up appointments will be booked with your therapist in their office. Payment for appointments will also be processed at this time through our online payment system via our booking platform Jane. Once the appointment is complete, your therapist will walk you back to the waiting room and direct you to stand on one of the turquoise floor decals again. The administrative team will then give you the go-ahead to leave the clinic.

12. Payment

All payments will occur without direct contact with the front desk. Payment for appointments will be processed through our online payment system via our booking platform Jane. If  needed, a contactless tap of a card may be used at the front desk. To avoid paper contact, you will receive an electronic receipt via email. Your exercise program will also be emailed to you following your appointment. No cash or cheques will be accepted.

13. Exit

After the administrative team has given you the go ahead to the leave clinic, you can proceed to exit. Sanitize your hands once more prior to entering the elevator. Once you are in your car and you remove your mask, please be sure to sanitize hands.
